Starting guide employers
This manual is intended for employers who use the CompuCase absence management system.
CompuCase is used by occupational health services and employers to report employees as sick and to report their recovery (hereinafter also referred to as: employments).
2 Logging in to CompuCase
Once your occupational health service has created a CompuCase account for you, you will receive an email about this. This email contains a link that allows you to set your password. If you have not received an email, check your spam folder. If you can’t find it there either, please contact your occupational health service.
2.1 First time logging in
By clicking the link in the email mentioned above, you will be taken to the CompuCase login screen. Here you can set your password.
Set CompuCase password
To ensure security, the password must meet the following requirements:
It is at least 8 characters long
It contains at least 1 lowercase letter
It contains at least 1 uppercase letter
It contains at least 1 numeric character
It contains at least 1 of the following punctuation marks:
!"@#$%&()*+,-/:;<=>?_`It must not contain the username
It must not appear on the list of leaked passwords
After you have set your password and clicked “Save”, the login screen will appear again.
Enter your username or email address and the password you just set, then click “Log in”.
Next, you will receive an SMS message on the mobile number registered for you by the occupational health service containing a 6-digit code. You can then use this code to log in to CompuCase.
Please note:
You receive the SMS message when setting or changing your password. Every next time you log in, you will need to verify using the 2FA method you have set up.
You only need to verify with 2FA once per day.
2.2 Forgot password
If you have forgotten your password, click “Forgot password” on the login screen.
Enter your username or email address and click “Send”. You will receive an email containing a link to change the password. Then follow the steps described above under “First time logging in.
3 Homepage and General Operation
After you log in, the CompuCase homepage appears.
The page is divided into different blocks (in the image below, the blocks are numbered).
These blocks appear on every page of the application. Only the content of block 2 changes, depending on the context within the application. The content of the other blocks is the same on every page.
Below is an explanation of the different blocks.
1. Menu
Use the menu to navigate to different pages in the application.
A menu item either navigates directly to a page or shows submenu items in a drop-down.
2. Page content
This block contains the content of a specific page.
3. Quick work
In this block you can search for an employment using a search field.
4. Recently viewed
This block shows the employments and cases you have recently viewed or worked on.
Click an employment or a case to go directly to the dashboard page for that item.
5. Service menu
The service menu consists of 4 menu items:
Using the search field, you can search for Employments and Cases
Help navigates to the online help page for CompuCase
Support provides various options to obtain CompuCase support
Via My account you can log out or change your password
4 View or Edit an Employment
Search for an employment using the search field in “Quick work.”
Click “Open dashboard.”
The “Employment dashboard” page appears.
Click the menu item “Edit employment” in the top-right for a drop-down with various options to edit the employment.
5 Add an Employment
On the “Employments overview” page, click “Add” in the top-right.
The “Add employment” page appears.
Tip:
On every page in the application there are question-mark icons, both at page level and on the right side of input fields. Clicking these icons takes you to a CompuCase online Help page with an explanation of the page and the specific field.
6 Report an Employee Sick (Create an Absence Case)
Search for an employment using the search field in “Quick work.”
Click “Add case.”
The “Add case” page appears.
Select the case type (for reporting sick this is “Sickness absence”), optionally adjust the start date, and click Next.
The “Add case, sickness absence” page appears.
7 Report Recovery (Close an Absence Case)
Search for an employment using the search field in “Quick work.”
Click “End case.”
The “Close case” page appears.
8 Reports
CompuCase offers a number of predefined reports regarding absence. You can download the overviews as a PDF file.
Please note:
If your occupational health service has assigned you the role “Absence reporter,” you do not have permission to view the reports.
All reports can be found under the menu item “Reports.”
